Safari PMS uses this policy to explain how website, workspace, mobile app, guest-operation, support, and billing data is handled.

Scope

This Privacy Policy explains how Safari PMS handles personal data when someone visits our public website, signs up for a trial or workspace, requests access, or uses the Safari PMS web workspace, native mobile app, and related digital services.

This policy covers data collected directly by Safari PMS and data shared with our payment and compliance partners when a customer completes a purchase, subscription, or refund workflow.

Information We Collect

We may collect operator contact and account information such as name, work email, organization name, authentication information, workspace role details, and hotel scope. We may also collect product usage data such as sign-in timestamps, feature activity, audit events, device identifiers, app version, browser or device information, push notification tokens, and support communications.

Hotel customers may use Safari PMS to process guest and reservation information, including names, contact details, stay records, room assignments, financial records, identity-document images and fields, nationality, date of birth, document identifiers, and profile photos. Safari PMS processes this information on behalf of the hotel operating the workspace and only within the authorized hotel scope.

When a customer makes a purchase, billing and tax details needed to complete the transaction may be processed through Dodo Payments as Merchant of Record. Safari PMS does not store raw card numbers.

Mobile App Permissions

The mobile app asks for camera or photo-library access only when an authorized operator chooses to capture or select a guest document or profile image. Document images and extracted document fields are uploaded to the authorized Safari PMS workspace when the operator confirms the workflow.

On supported devices, NFC access can be used to read a compatible passport or identity-document chip for identity verification. Microphone and speech-recognition access can be used for optional voice commands; the resulting command text is sent to Safari PMS when the operator submits it. Notification permission is optional and is used for operational alerts.

Safari PMS does not use these permissions for advertising or cross-app tracking. Permission choices can be changed in iOS Settings.

How We Use Information

We use personal data to operate the website, provision accounts, secure access, deliver Safari PMS features, process support requests, investigate fraud or abuse, and improve product reliability and safety.

Within the mobile app, we use data to authenticate operators, enforce organization and hotel scope, show reservations and operational records, support document capture and identity review, register opted-in devices for notifications, and complete operator-initiated hotel workflows.

We also use relevant records to comply with legal obligations, resolve disputes, and maintain audit evidence for access delivery, refunds, and account security.

Payments, Tax, and Merchant of Record

Online purchases may be processed by Dodo Payments, which acts as Merchant of Record for the transaction. This means Dodo Payments may appear on receipts, invoices, and card statements and may process payment, tax, fraud, and refund operations on our behalf.

Checkout, payment, refund, and tax handling may therefore be subject to Dodo Payments checkout terms, payment network rules, and applicable law in addition to Safari PMS product terms.

Sharing and Retention

We share data only with service providers and partners who need it to host the service, secure the platform, deliver email, process payments, or meet compliance obligations. We do not sell personal data.

We retain data for as long as reasonably necessary to provide the service, satisfy the hotel customer’s documented operational and legal requirements, maintain required records, enforce agreements, investigate incidents, and satisfy legal, tax, accounting, or dispute obligations. Retention can vary by workspace configuration, record type, and applicable law.

Your Choices and Requests

You may request access, correction, or deletion of personal data where applicable law gives you that right. Some records may need to be retained for security, billing, fraud prevention, or legal compliance.

If you submit a privacy or billing request in connection with a purchase, we may need to coordinate with Dodo Payments where they acted as Merchant of Record for the transaction.
